Supplier Code of Business Conduct
1. Purpose and Scope
Royal Poly Products is committed to building strong and ethical supplier relationships. This Supplier Code of Business Conduct outlines the principles, standards, and expectations we hold for all suppliers, contractors, service providers, and partners (“Suppliers”) who support our operations globally.
This Code aligns with our Integrated Management System (IMS), our corporate values, and Australian and international laws, including Modern Slavery and Reconciliation initiatives.
2. Legal and Regulatory Compliance
Suppliers must:
- Comply with all applicable laws, regulations, and standards, including:
- Australian Commonwealth, State, and Local Government laws;
- International trade and customs regulations;
- Anti-bribery, anti-corruption, and fair competition laws;
- Taxation and financial reporting obligations.
- Obtain and maintain all required permits, licenses, and registrations.
- Cooperate with Royal in providing compliance declarations, audits, and certifications as required.
3. Modern Slavery and Human Rights
Suppliers must:
- Prohibit and actively prevent all forms of modern slavery, forced labour, debt bondage, servitude, or human trafficking.
- Ensure all work is freely chosen and workers are free to leave without penalty.
- Disclose their own efforts to monitor and eliminate modern slavery within their supply chains, if requested.
- Comply with the Modern Slavery Act 2018 (Cth) and support Royal’s reporting obligations.
4. Labour Standards and Inclusion
Suppliers must:
- Prohibit child labour and uphold the rights of young workers in line with ILO standards.
- Provide fair wages, safe working hours, and lawful working conditions.
- Maintain a workplace free from discrimination, harassment, and bullying, in line with Royal’s internal policies.
- Uphold freedom of association and collective bargaining rights.
5. Australian Reconciliation and Local Inclusion
Royal Poly Products supports the advancement of reconciliation and inclusion for Aboriginal and Torres Strait Islander peoples. Suppliers are encouraged to:
- Respect and acknowledge the traditional custodians of the land on which they operate;
- Provide meaningful opportunities for Indigenous employment, training, and procurement;
- Align with the principles of the Australian Reconciliation Action Plan (RAP) framework.
6. Health, Safety, and Environment (HSE)
Suppliers must:
- Comply with all applicable Work Health and Safety (WHS) laws and provide a safe work environment;
- Supply and require the use of appropriate Personal Protective Equipment (PPE);
- Maintain systems aligned with ISO 45001 (OHS) and ISO 14001 (Environment) standards;
- Submit Material Safety Data Sheets (MSDS) for any hazardous substances delivered to Royal sites;
- Implement procedures to minimise environmental harm and carbon impact.
7. Quality and Product Integrity
Suppliers are expected to:
- Deliver Goods and Services in accordance with contractual specifications, industry standards, and drawings;
- Ensure products are safe, fit for purpose, and defect-free;
- Participate in supplier evaluations, inspections, and corrective action processes as part of our IMS;
- Comply with product traceability and documentation requirements (e.g. Certificates of Conformance, As-Built Drawings, etc.).
8. Drugs and Alcohol
Suppliers must:
- Enforce zero tolerance for alcohol or illegal drugs during working hours or on Royal-controlled premises;
- Participate in testing, disciplinary action, or rehabilitation processes where necessary;
- Ensure any subcontracted personnel meet the same standard.
9. Ethical Business Conduct
Suppliers must:
- Conduct business with integrity, avoiding all forms of corruption, fraud, bribery, or facilitation payments;
- Disclose any potential conflicts of interest;
- Compete fairly and ethically in accordance with competition laws;
- Maintain accurate and truthful records and not engage in any form of misrepresentation.
10. Data Privacy, IT, and Cybersecurity
Suppliers must:
- Comply with applicable privacy laws, including the Privacy Act 1988 (Cth);
- Protect Royal’s confidential information and intellectual property;
- Use IT systems responsibly and in accordance with Royal’s IT policy;
- Prevent unauthorized access, data breaches, or inappropriate use of digital systems.
11. Non-Discrimination, Harassment & Equal Opportunity
Suppliers must provide workplaces that:
- Uphold equal employment opportunity and prohibit discrimination based on race, gender, disability, religion, sexual orientation, or age;
- Are free from harassment, bullying, or unwelcome conduct as detailed in Royal’s internal policies;
- Promote dignity, respect, and inclusion at every level of the workforce.
12. Whistleblower Protection
Suppliers must:
- Provide a safe mechanism for workers to report misconduct, unethical behaviour, or unsafe conditions without fear of retaliation;
- Promptly investigate reports and cooperate with Royal in any incident investigations.
13. Audit, Monitoring, and Compliance
Royal Poly Products reserves the right to:
- Conduct audits or site visits to verify compliance with this Code;
- Request supporting documentation and supplier self-assessments;
- Take remedial or contractual action in response to breaches of this Code, including termination.
14. Acknowledgement and Flow-Down Requirement
Suppliers must:
- Acknowledge this Code in writing;
- Ensure it is communicated and cascaded to all subcontractors, vendors, and affiliated parties who contribute to work performed for Royal.
15. Updates and Enforcement
This Code may be updated periodically and the latest version will be published at:

16. Governing Law
This Code shall be governed by the laws of Western Australia, and any disputes shall be resolved in its courts.
